The Career Development Office at Berkeley Law provides career planning and counseling services for over a thousand graduate students and hundreds of alumni each year. In addition to providing counseling, members of the CDO publish career related resources, present substantive panels and workshops on topics within the legal field, coordinate recruiting programs and manage our recruiting databases, and provide administrative support to the office. The goal of the office is to utilize knowledge, skills and technology platforms to provide comprehensive career related support to our students and alumni.

The position of Career Development Coordinator will join the dynamic and innovative CDO team and will provide administrative services and general operations support in Berkeley Law’s CDO.

Administers a defined operational program or activities for Berkeley Law’s Career Development Office, which may include some of the following functions: finance, facilities, space planning, student services, event support & coordination, communications, informational technology or safety.
Understands implications of work and makes recommendations for solutions.
Determines methods and procedures in carrying on new assignments.

Office Administration:
Responsible for the day-to-day coordination and general administrative operations of the Career Development Office (CDO).
Serves as the main administrative point of contact for the office and responds to all inquiries (in-person, phone, email, regular mail) by students, employers, and alumni.
Tasks are of moderate scope and complexity and require the exercise of discretion and independent judgment (within defined guidelines/policies/practices) to determine appropriate action.
Applies specialized office software (Symplicity, a/k/a b-Line) to maintain CDO’s recruiting and jobs database, including posting jobs, updating employer contact, student and alumni accounts.
Receives and processes non-Berkeley Law student reciprocity requests for career resources and services.
Provides administrative support as assigned by the Director of Judicial Clerkships during the clerkship hiring process (including preparing recommendation letter packets to be mailed to judges) and during several annual judge visits (including making travel arrangements and processing reimbursements).
Works with various departments on campus to ensure that office records and information are current and accurate.
Troubleshoots with b-Line users and provides instruction and technical support as needed.
Determines need for general office equipment and supplies and maintains office equipment.
Assists with printing, copying and scanning needs.
Participates in professional development and training opportunities.

Financial Support and Administration:
Assists in processing business transactions, including invoices and reimbursements, in BearBuy.
Researches and resolves vendor issues.
Functions as a resource on issues such as researching complex financial discrepancies, escalated customer service problems and vendor concerns.

Assists with travel arrangements for invited speakers, staff, and students.

Events Planning and Support:
Supports CDO colleagues in planning, coordinating and managing large complex career related events throughout the academic year (such as the Diversity Programs Fair; mock interview programs, Meet the EIW Employers Networking Event).
Supports and coordinates meeting and event logistics to ensure that room reservations, catering, materials preparation, and outreach to appropriate constituents are executed accordingly.
Serves as liaison with the Business Services Office and Event Services Team at Berkeley Law, as well as external constituents (if any), when planning and executing events.
Liaises with IT/Media/Facilities on program needs, responds to requests for information.

Supports CDO communications efforts, including social media and updating/reviewing/revising the CDO website, which requires substantive knowledge of the
CDO’s goals and objectives.
Prepares and/or assists with drafting written and electronic materials.
Maintains web and social media presence, and resolves website challenges in coordination with Information Security & Technology (IS&T) and other various
departments to keep information accurate, timely and flowing between students, faculty, alumni/friends and the school.
Performs other duties within the scope of this classification as assigned.

Interview Program Coordination:
Assists in the coordination of the office’s interview programs (Spring Interview Program, Early Interview Week, and Fall Interview Program) using our
specialized recruiting software platforms, Symplicity and Flo Recruit.
Liaises with employers on registration, and other administrative components of the interview program coordination process.
Creates and maintains reports used by the office and students for the interview programs.
Assists in developing strategies for effective gathering of recruiting related information.
Supports students and employers with technical issues.
Develops instructional materials for employers and students.
Assists in developing the programming related to the interview programs for students.
Other interview program coordination duties as assigned.

Required Qualifications

Knowledge of, or ability to learn, a variety of administrative operations activities such as events planning, fundraising processes, website management, and finance and accounting.
Working knowledge of or the ability to quickly learn common campus-specific and other computer application programs, such as BearBuy and UC travel and reimbursement systems.
Excellent communication and interpersonal skills to communicate effectively, both verbally and in writing.
Strong skills in short term planning, analysis and problem-solving, as well as successful track record in a customer-, constituent- or student- services position.
Solid organizational skills and ability to multi-task with demanding timeframes.
Demonstrated ability to prioritize, exercise initiative and sound judgement, while effectively executing multiple projects with competing deadlines.
Excellent computer skills, including proficiency with MS Office, Google Suite, video conferencing platforms, and the ability to learn new computer programs and software systems.
Strong attention to detail.
Ability to be a self-starter, to take initiative and work independently as well as on a team.
Ability to think creatively to solve problems and develop solutions.
Ability to use discretion and maintain all confidentiality.
Ability to use sound judgment in responding to issues and concerns.
Ability and desire to work with diverse populations, including students, faculty, academic administrators, and practicing lawyers, with diplomacy, poise, and tact.

Bachelor’s degree in related area and/or equivalent experience/training.
Prior administrative and/or office management experience.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $30.16 (Step 3) – $32.26 (Step 6).

This is a 100% full-time (40 hours per week), career position that is eligible for full UC benefits.
This position is non-exempt and paid bi-weekly.
This is a hybrid position, eligible for 20% remote capability.
This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010. The current bargaining agreement manual can be found at:
